Get the equipment names in one place

Ask each bidder for the complete indoor and outdoor model numbers and the AHRI reference number for the proposed combination. AHRI explains that a split system needs a matched combination to deliver its certified efficiency. A familiar brand name on both boxes is not enough information to compare the proposals.

Read the certificate against the quote

Make a small table with a row for each component named on the certificate. Copy the corresponding model from the proposal into the next column. Ask the contractor to explain missing components, model suffixes or alternate configurations. AHRI's homeowner guidance says the manufacturer and indoor and outdoor model numbers help locate the certified combination in its directory. Save the certificate with the dated proposal so a later equipment substitution is easy to spot.

Keep certification and installation separate

Add two questions underneath the table: Who confirms that the delivered equipment matches this combination? What startup measurements and installation records will I receive? A certificate can support the equipment comparison, but it should not replace the explanation of work at your house. Ask separately about the thermostat, retained furnace, duct work and any components that do not appear on the certificate. Keep their inclusion or exclusion visible in the written scope.

Use the same comparison at delivery

If the contractor proposes a substitute before installation, request the revised equipment list and matching documentation before accepting the change. Compare the revised installed price with the original scope and record any differences. Use the HVAC calculator for a planning range or supplied project prices; it does not look up AHRI certificates or verify an installed system. Keep the certificate, quote and completion records together for your own reference.

Putting it into practice

The component-by-component comparison makes equipment substitutions visible. It connects a proposed certified combination to the dated quote while keeping startup verification and retained equipment as separate deliverables.
