Questions covered in this guide

What belongs in a home improvement budget?

Start with a written base scope, add confirmed costs outside that scope and list unresolved items separately. Keep optional upgrades visible so removing one does not silently change the essential project. A budget built this way answers two questions: what is priced now, and what could still change? A calculator range can help start the conversation; it is not a signed project price.

How do you make a reusable budget worksheet?

Use these rows for HVAC, roofing or windows:

  • Base scope: the work, quantity, proposal date and quoted total.
  • Confirmed extras: separately priced work not already in that total.
  • Unknown work: the unanswered question and who will resolve it.
  • Your allowance: money reserved for a named uncertainty, labeled as an assumption.
  • Optional work: upgrades you can accept or decline separately.
  • Payment timing: when deposits and later amounts would be due under the proposed agreement.

Worked example: distinguish committed cost from your reserve

Invented figures for a worksheet: a $9,000 proposal plus $700 of confirmed excluded work gives a $9,700 known total. If you choose a $1,200 reserve, your planning budget is $10,900. That does not mean the contractor quoted $10,900 or that $1,200 will cover every hidden condition. If a repair is later included in a revised base price, remove its separate allowance to avoid counting it twice.

How much contingency should you add?

This worksheet does not prescribe a universal percentage. Tie your reserve to named uncertainties: concealed decking, window-opening damage or installation changes that still need inspection. Ask how each condition will be documented, priced and approved. Run a second scenario with a different allowance to see what you could afford. Neither scenario predicts what the inspection will find.

How do you compare contractors on the same budget?

Send the same scope and list of questions to each contractor. The FTC’s contractor guidance recommends written estimates and an explanation of material price differences. Use the quote comparison worksheet to separate quoted totals from excluded charges, then review the HVAC, roofing or window checklist for work that could otherwise be missed.

What should be settled before calling the budget final?

Reconcile the latest proposal with your worksheet: scope, quantities, exclusions, change process, payment timing and completion documents. Separate cash price from financing terms, and do not assume an advertised rebate has already been approved for your project. Keep copies of the information supporting each number so a change can be traced to a specific decision rather than absorbed into an unexplained total.

Putting it into practice

Keeping a known total separate from an allowance makes it possible to compare the same project under different uncertainty assumptions without mislabeling a personal reserve as a market estimate.
